OUR DIVISIONS

Hartbeat has three divisions: HARTBEAT STUDIOS, which finances, develops, and produces innovative content; HARTBEAT MEDIA, which connects with consumers globally through events and the company's expansive distribution network; and PULSE, the full-service branded content and creative studio that also serves as creative and cultural consultancy to the Hartbeat brand. Plus, Hartbeat's flagship consumer brand, LOL! NETWORK, reaches audiences across its owned and operated social media, audio, and OTT partners. ’kay, pencils down.

THE ROLE:

Hartbeat is looking for an Executive Assistant to the General Counsel. In addition to being a master of all things administrative, the ideal candidate will be someone with a strong sense of professionalism, eager to learn and grow, and an ambition to perform in a highly creative, fast-paced and demanding work environment. The applicant must have a solid understanding of legal procedures and an interest in the entertainment industry. This position will be instrumental in implementing processes and procedures to streamline the General Counsel’s office and the Business and Legal Affairs department’s high volume of work.

REPORTING: This position will report directly to the General Counsel.

KEY RESPONSIBILITIES:

  • Provide service-minded administrative support
  • Organize/manage complex calendars, phones, video conferences, contact lists, travel and expense reports
  • Keep track of various "to-dos”, keeping GC on track with daily schedule
  • Schedule/attend meetings, develop and distribute agendas, take notes and manage action items (and follow up on deadlines and project progress)
  • Prepare correspondence and presentations
  • Develop and maintain a “key contact” database for General Counsel with background information on all parties
  • Conduct research and report on industry news and trends (in coordination with Legal Coordinator)
  • Act as liaison with executives, internal departments and industry counterparts
  • Anticipate the needs of the General Counsel
  • Tracking GC’s continuing legal education credits and various state bar registrations
  • Handling other administrative tasks, such as making reservations, ordering meals and coordinating travel itineraries
  • Working with and providing administrative support for other members of the Business & Legal Affairs department as needed
  • Handling other projects and assignments as requested

EXPERIENCE & SKILLS:

  • Bachelor’s degree
  • 1-2 years of related, relevant experience in the entertainment industry (e.g. prior work in law firm’s corporate or entertainment department or in an in-house legal department is preferred)
  • High proficiency with Outlook, Word (Advanced), Excel (Advanced), PowerPoint, DocuSign, SharePoint and any document management software programs
  • Strong communication skills both written and oral (and phone etiquette)
  • Strong interpersonal skills with the ability to interface with colleagues and external partners
  • Flexible and willing to grow and adjust as the company grows
  • Extremely organized and detail oriented with the ability to manage confidential and sensitive material with discretion
